DOC NYC Film Manager

Scope of Services  2025

Dates: July 14, 2025  – December 8, 2025 

The Film Manager reports to DOC NYC’s Artistic Director and manages all administration of the films and filmmakers in DOC NYC’s annual Official Selection. The Film Manager will directly administer the feature films in the festival line-up, and will recruit (within budget established by DOC NYC) a Film Assistant Manager (who will be subcontracted and compensated directly by DOC NYC) to administer the short films. Details of the administrative services are outlined below: 

  • Best efforts to absorb a basic knowledge of all films in the line-up to understand their content, assets and themes, in order to flag issues or contribute ideas for optimizing filmmaker and audience experience.
  • Distribute AirTable Film Information Request Form to rightsholders of confirmed films, diligently followup until all forms are submitted in full according to established deadlines
  • Work in collaboration with an assigned AMCN employee to arrange for Exploitation Rights Agreements to be sent to rightsholders. Agreements should be customized based on terms that were negotiated by the Artistic Director. Regularly follow up with all rightsholders until documents are submitted.
  • Review all records submitted to AirTable for accuracy and completeness, including the submission of Stills, Digital Posters and Trailers, and adjust data as may be necessary to achieve consistency with DOC NYC’s style and content guidelines.
  • Collaborate with Content Manager on a catalog skeleton to ensure appropriate page quantities are held for confirmed programs.
  • Manage the Capsule and Logline writing process by working with the Artistic Director and Programming Team to achieve consensus on assigned films. Ensure Programming Team is aware of approved style guide. Set deadlines for Capsule delivery, follow-up to ensure deadlines are met, and add appropriate Film Credit information Capsules before delivering to Content Manager within deadlines.
  • Manage the website Theme tag assignment process within deadlines. 
  • Manage the Main Still selection process by working with the Artistic Director to finalize (including follow-up with film teams if submitted Main Still does not meet DOC NYC standards), including re-sizing of the Main Still according to DOC NYC guidelines. Set deadlines for Main Still delivery via Dropbox to Content Manager within deadlines. 
  • Manage (after the Main Slate and Short List, Winners Circle and DOC NYC U selections have been finalized) the first draft of the Screening Schedule, in collaboration with Artistic Director and Programming Team. Manage the second draft of the Screening Schedule in collaboration with Artistic Director, Festival Leadership and Operations team. Make every effort to construct and manage the Screening Schedule directly in AirTable.
  • Manage communication of the tentative screening date, time and venue to each rightsholder and allow for 48 hours for film teams to respond with change requests. Vet any change requests with Artistic Director and Festival Leadership prior to finalizing schedule. 
  • Recruit a Presentation Crew for additional support for Q&As
  • Manage the Introduction and Q&A Schedule by working with the Artistic Director, Programming Team, Presentation Crew (if applicable) and Guest Moderators to achieve consensus on assigned films. If appropriate, recruit a vetted and diversified Presentation Crew to support the Introduction and Q&A process. 
  • Manage (after Screening Schedule is locked) communication with rightsholders regarding the locked date, time, venue and Q&A moderator (to avoid any ambiguity regarding moderators) and provide information on program announcement, badge/guest registration and filmmaker benefits (tickets, events, etc.)
  • Manage the practical aspects of the Programming Team’s experience by communicating pertinent information for:
    • Friends & Family ticket discounts
    • Venue information
    • Staff FAQs, events, parties, activations
    • awareness of filmmaker experience
    • protocol for greeting filmmakers and guiding them to step & repeats for official photos
    • protocols for Q&As  asking filmmakers prior to the screening in regards to sitting vs. standing, and end credits preference (cut or not-cut), etc.
    • Advance meet-and-greet (over video conference if necessary) between Programmers and Venue/Theater/Auditorium managers and Tech team
    • other vital organizational information as needed
  • Provide all participants in the Introduction and Q&A program with advance overview schedules as well as nightly reminders of the next day’s schedules.
  • In collaboration with Artistic Director, act as POC and liaison with other Festival departments (Operations, Ticketing, Marketing, etc) for practical aspects of Filmmaker experience, both for in-person Guests and remote participants, including:
    • invitations and RSVPs for filmmaker events, both prior to and during the Festival, including Filmmaker Social Media Toolkit Orientation session
    • distribution of Filmmaker Social Media Toolkits and communication on program announcement/go-live date
    • updates on ticket sales upon request
    • activation-at-screening and/or guest Q&A moderator requests
    • tracking of film team’s accessibility needs
    • distribution of travel honorariums (if applicable)
    • additional badge requests
    • Q&A appearances including those participants with tickets but not badges ensuring appearance release forms are distributed and executed prior to the film team’s screening  regular updates of additions and changes to Website, Photography, Videography teams 
    • Q&A appearances at second, third and/or late-addition screenings  regular updates of additions and changes to Website, Photography, Videography teams 
    • badge, ticket and on-site information collection during the Festival (including management and oversight of one short-term Crew member to assist with this purpose, if applicable)
    • other vital organization information as needed. 
  • Organize and lead one or possibly two Zoom information sessions in the lead up to the Festival to reinforce written instructions with verbal follow-up, and allow for open Q&A period.    
  • Manage the Introduction Card creation process, including daily delivery to the Operations team.
